Spending Guidelines

  • By the December holidays, 1/2 of all book, AV software, and database budgeted amounts should be encumbered.
  • By Spring Break, the remainder of all book, AV software, and database budgeted amounts should be encumbered.
  • By May 15, all remaining budgeted amounts should be encumbered. Exceptions should be discussed and approved by the director of Library Services.

Transfers

In the Munis system, transfers within Function 12 (campus library budgets) will be done by the campus bookkeeper.

  • Transfer whole dollar amounts only
  • Permissible transfers are from student resource accounts to other student resource accounts such as:
    • Books to AV software, periodicals, databases
    • AV software to books, periodicals, databases
    • Periodicals to databases, books, AV software
    • Databases to books, AV software, periodicals
    • Supplies to Books, AV Software, Periodicals, Databases
  • Transfers from student resource accounts (Books, AV Software, Periodicals, or Databases to Supply Account are not permissible.
  • Note: AV equipment is not a library budgeted item.
  • Principals will need to fund AV equipment.

Conferences and Workshops

Travel funds are to be requested from the campus principal. As such funds are limited and all campus staff will be approaching the principal with travel requests, it is wise to plan early and support your request with as much information as possible about conference or workshop you wish to attend. Be sure to include the benefits to you, your students, and staff.

  • Release time does not usually exceed 3 consecutive days
  • Conference expenses are usually capped at the rate of preregistration for organization members
  • If budgets do not cover expenses, a librarian may request approval of the necessary days off in order to attend at his or her own expense.
