Clearing Long-Unused User Accounts

                  

Next week, we will remove User Accounts (created by you), that have been unused for 12 months.  These would include MENTOR, PARENT, SUB, STU-TEACH, etc.

 

A user who has items checked out, cannot be removed.

 

If you would like a list of these users, please send an email to Lib-Help, to request the list.

Collection Analysis Load

 

Exports sent to vendors for Collection Analysis (Follett, BTSB, Gumdrop, PermaBound, etc.) are scheduled to run every 121 days (or every 4 months).

 

Prior to the export, withdrawn user accounts are cleared. On June 3, the Weeding User for each campus (e.g. WD181) will be cleared and the items removed from the system.

 

If you wish to have a copy of the withdrawn books, you must run the Display One User report prior to June 3. Use the id for your WD account, for example WD181. You can print this list out or save it to your computer.

ILL Accounts

 

 

To find out what you have borrowed from other libraries, run the Display One User Report

 

Click Schedule New Reports

 

Select Display One User

 

Click on Selection Criteria

 

Put your ILL User ID (ILL125, ILL043, etc.) in for User ID

 

Click Run Now

 

Go to your finished reports to see a list

 

If you run the Faculty List Charges report, you can see what you have loaned to other campuses. You can find them quickly on the list by using Find and searching on the word interlib (word interlibrary is cut off as listed).

PG ratings on DVD/VC

 

Please remember to check the rating on the DVDs and Videos that you receive. Elementary campuses can only have G rated movies.

The rating is usually on the container or you can see it when you play the videorecording. On both the Library Video and Follett site, you can usually see the rating if you pull up the details for an item. It is frequently not in the MARC record.

 

Lib-Help can transfer a video to a secondary campus if you can not return it. Send it to Lib-Help, with a note attached.

Safe Image Searches on the Internet

 

NISD has blocked access to several image search engines (e.g., Google Images) to reduce the possibility of students encountering inappropriate content while on the Internet, as mandated by federal law (CIPA - Children's Internet Protection Act, 2001).   Northside ISD provides a safe image searching solution via district online databases, which currently contain over 437,000 images.   More images are added frequently. 

 

Online databases create a digital library that includes magazines and newspapers from around the world, encyclopedias and atlases, books, image archives, audio and video clips, and so much more. These resources are not Internet websites; they are searchable collections (i.e. databases) of content and rich information.  NISD purchases subscriptions to online databases each year so that students and teachers can use them free of charge from an Internet-connected computer at home or school.

Ordering Books

 

The Follett webside now gives you the option to select 1 shipment vs. 2 shipments.  Please check "Complete Order in One Shipment."

                                                                    

The Northside book bid, that all  book vendors respond to (agree to), specifies one shipment only.   We are set up for a single shipment.

Printing Information:  WorkFlows GL3.1C

 

Screen Printing:

     You will have to set up screen printing on the upgraded WorkFlows.

     In WorkFlows, go to File > Click on Print Setup > Launch Application > OK > Go to Program Files > Windows NT > Accessories > Wordpad > the window closes.

 

Report Printing:

     I believe you will not have a problem with the report setup.  However, if your document does not line up correctly:

     View the report > In WordPad click on File > Print Setup > Set all 4 margins at 0.5.   Click OK.

      Click on File > Print Preview > Two page.  The top line of each following page should be "hugging" the top line. 

      If not, call Melinda 8186.

ISBN 13

 

Beginning on January 1, 2007, all newly published items will carry 13-digit ISBNs.

 

Existing ISBNs will be prefixed by 978, and the check digit will be recalculated.

 

New numbers will all be prefixed by 978, until the numbers run out.  Then they will be prefixed by 979.

 

You may notice this in your records or on items you receive. We have been adding ISBN 13s to our records for about six months.

Searching for materials in other languages

 

To search for materials in other languages use General (Workflows) or Keyword (Webcat) and your library or all libraries. 

 

Use Arabic language, Spanish language, Korean language, Hindi language or whatever language you are seeking as the search term. 

 

Remember you can add the language search to any search by combining with the Boolean operator and.

      For example: senses and Spanish language

Reports Queue Up

 

Reports queue. 

 

When you schedule a report, it gets in line with all the other reports being scheduled all over the district.

 

As one report finishes, the next report in line will run.

 

Be patient. If you keep scheduling the same report, it keeps getting in line and will slow down report running for everyone. So once is enough.

 

However, it the report does not finish running by 45 minutes after you schedule it, please contact Lib-Help.

Send Materials to Library Services for Processing

 

Please remember that all book and AV materials must be sent to Library Services for processing. When you receive gifts or materials from other sources such as book fairs, please box these materials and send to Lib-Help for a pick up.

 

You may attach call numbers to Periodical records (like Mailbox) and to your own Equipment records (not other people's equipment records). Those items are not part of the MARC database that we share with other libraries.

If you are giving a book to another school, please send it to Library Services for reprocessing. Please do not delete or cover up your barcode. Please mark clearly that the item is being given to another campus and note the campus name.

Scan books

 

Please scan all books that you receive from vendors or Library Services, after you set the properties on Edit Item to search Item ID. 

 

This is a check to make sure you have received the correct book and that the book you have in your hand matches the bar code.

 

Please check for a price and add if there is not one.

 

Please let us know if there is a problem.

Library Accounts

 

Library Accounts are internal accounts used by the library. The name of your school (SIRSI name) must be first in  the name of each account.

 

[YOUR SCHOOL] Withdrawn WD_ _ _ (profile: WEEDING) Books withdrawn for your collection

[YOUR SCHOOL] Missing in Inventory MS_ _ _ (profile: MISSING) Used only at inventory

[YOUR SCHOOL] Paid User PAID_ _ _ (profile: PAID) For materials that were paid for

[YOUR SCHOOL] Lost LOST _ _ _ (profile: LOST) For materials that are gone, student moved, etc.

 

e.g., STINSON-M Weeding Account WD050

STINSON-M Missing in Inventory Account MS050

STINSON-M Paid Item Account PAID050

STINSON-M Lost Item Account LOST050

 

 

Weeding accounts are cleared 3 times a year.  Paid, and Lost are cleared (up to previous year) at inventory time.  Missing is cleared of items missing in a second inventory, at inventory time.

Export to Follett TitleWise (and for Other Vendors) Is Now Automated

 
We have automated the processes involved in the export of our database. 

 

   1,  Items checked out to the Withdrawn User (WD_ _ _, e.g. WD123) for each campus, will be automatically deleted from the system, on Oct. 4th (this Wednesday).   (If you will need a list of the items checked out to your Withdrawn Items Account, please schedule your Library Accounts report ASAP.)

 

2.       The report to export the MARC database will run automatically on Oct. 5th.   Follett will email the librarian when the analysis has been completed.

3.  The automated reports will then repeat every 121 days. The next export will be Feb. 2, 2007, then June 3, 2007, etc.

Interlibrary Loan Account Numbers

To find the ILL account number for each campus, you can search user name: interlibrary, in All Libraries (ALL_LIBS).
You will pull up the list of libraries, and their phone numbers.

 

You can print the list, by hitting the printer wizard, then print the document.

You can also search by the campus name.

Please put a routing label on each box for which you have requested a pickup. The label can be printed from the Procedure Manual, Forms, #11.

User Not Found

 

If a search for a student or faculty member results in the error message, "User Not Found,"  change Library to ALL_LIBS.  Students may be still attached to a previous campus.

 

If a student or faculty member has not been loaded to the SIRSI user database (user not found in any library), please create him/her, using the Northside id number, name in upper and lower case. 

 

Please always check out materials, even if you have to resort to paper and pen/pencil!!

Lib-Help is clearing the weeding accounts in anticipation of sending the database to Titlewise for analysis.

 

You will find in your Finished Reports, the Library Accounts report, which will give you a list of items weeded.

 

Tuesday Tip   May 16, 2006   Reports:        All Items Out and All Users with Charges

 

These reports will serve as a double-check against your overdue notices/lists:

 

          The All Items Out report lists all items currently charged out, from your library, to library patrons, from any campus.

 

          The All Users with Charges report lists all patrons at your campus, who owe materials to any library.

If the report you scheduled doesn't finish immediately, please do not re-run report.

 

Reports queue. When you schedule a report, like an overdue, it gets in line. If you re-schedule the report, it gets in line again. This makes everyone wait longer.
